Quick Facts

Downloading ZixMail

  1. Point browser to www.zixmail.com
  2. Click Free Download tab.
  3. Affirm export restrictions.
  4. Click on the Download Now link.
  5. Choose "Save to Disk."
  6. Save self-extracting ZixMail file to desktop.
  7. Close browser. At the Desktop install the software:
  8. Double click the ZixMail file on desktop.

Creating your ZixIt Signature

You need an active ZixIt Signature to use ZixMail.

  1. Connect to the Internet.
  2. Open ZixIt Signature Manager.
  3. Click "Create New Signature."
  4. Type your email address twice.
  5. Click OK.
  6. Enter Signature Phrase twice (128-character max).
  7. Click OK.
  8. Accept Recovery Option.
  9. Click OK.
  10. Go to your regular email inbox.
  11. Respond to confirmation email by clicking accept link.
  12. Open ZixIt Signature Manager.
  13. Click "Update Status" to activate Signature.

Backing up your ZixIt Signature

We recommend the following procedure:

  1. Export ZixIt Signature to a file.
  2. Transfer file to removable media.
  3. Store disk in a safe place.

Composing ZixMail messages

  1. Open ZixMail's "Compose" window.
  2. Type recipient's address in "To" field.
  3. A semi-colon (;) separates multiple addresses.
  4. Select an address in the "From" field.
  5. Enter subject in "Subject:" field.
  6. Enter message in "Message: field."
  7. Click "Send."

Attaching files to a ZixMail message

  1. Open ZixMail.
  2. Compose message.
  3. Click "Attach File(s).
  4. In the "Add Attachments" window, find and click the name of the file to attach.
  5. For multiple files, hold down the Ctrl key.
  6. Click OK.
  7. ZixMail displays attachments in "Attached Files."
  8. Click "Send."

Saving a ZixMail message as a Draft

  1. Open ZixMail.
  2. Compose your message.
  3. Click "Save as Draft."
  4. In "Save as Draft" box, take one of these actions:
    • Select "Save as draft-unencrypted" and click OK.
    • Select "Save as draft-encrypted" and click OK.
      • Type Signature Phrase and click OK.

Adding a new contact to your address book

  1. In ZixMail, click Address Book.
  2. Click "Add New."
  3. Type email address and nickname. Click "Continue." ·
    • If the contact has a valid ZixIt Signature, ZixMail adds as "Active."
    • If the contact does not have a valid ZixIt Signature, ZixMail adds as "Inactive."
  4. On the "Add Contact" box, take one of these actions:
    • To add another contact, click "Add Another". Then repeat step 3.
    • To close this window, click "Do Not Add Another."

Updating inactive ZixIt Signatures for contacts

  1. In ZixMail, click Address Book.
  2. Click "Update ZixIt Signatures."

    If valid address, status changes to active.

Notifying contacts about ZixMail

  1. In ZixMail, click Address Book.
  2. Click "Notify Contacts."
  3. Select contacts or click "Select All."
  4. Click OK.
  5. Choose send from email address.
  6. Enter Signature Phrase and click OK.

Changing Nickname of contact

  1. In ZixMail, click Address Book.
  2. Select contact, and click "Edit Selected."
  3. Enter new nickname and click OK.

    Nicknames = (letters, numbers, or symbols) without spaces.

Creating email groups

  1. In ZixMail, click Address Book.
  2. Click "Add New Group."
  3. Type a group-name and do one of the following:
    • Select name(s) to add to the group.
    • For multiple names, hold down the Ctrl key.
  4. Click Add.
  5. Click OK.

Importing contacts from other address books

  1. In ZixMail, click Address Book.
  2. Click "Actions" from the menu and "Import Address."
  3. Select address book type from list.
  4. Click Continue.
  5. Take one of these actions:
    • Browse to Address Book file.
    • Select names to import, click Continue.
    • Click Import All.
  6. Click OK.

Importing a ZixIt Signature

  1. In Signature Manager, click Import Sigs.
  2. Select the import file, click Continue.
  3. Type protection phrase and click OK.
  4. Click OK.

Recovering a Private Signature Code

  1. In Signature Manager, click Actions Menu.
  2. Choose "Recover Signature."
  3. Type the address of the Signature to recover.
  4. Enter Recovery answer and click OK.
  5. Click OK.
  6. Recovery file is sent to your email address.
  7. Save Recovery file to disk
  8. In ZixIt Signature Manager, click Import Sigs.
  9. Choose the recovery file and click Continue.
  10. Enter the recovery answer.
  11. Enter a new Signature Phrase twice. Click OK.
  12. Click "Update Status" to activate signature.
